e-Tools Software Newsletter | June 2023

Dear Client,

It's hard to believe we are already halfway through the year! The anticipation is building for our eRAD Cloud release, and we reveal the key features that make this application essential for residential care providers. In the home care space, we direct your attention to funding-related issues that need to be addressed ahead of the 'Support at Home Program' commencement. Please enjoy our newsletter.

eRAD Cloud - Manage and Consolidate Resident Fees and Payments in One Place

We are very close to launching eRAD Cloud. The ability to maintain resident fees in eRAD Cloud will provide pinpoint precision in the way you manage your resident charges. Fees are consolidated with accommodation payments for a reliable end of period billing reference.

New eRAD Cloud features and benefits:

  • Maintain and track resident fees, incl. basic daily care fee and means tested care fee.
  • Stay on top of the latest fees with automatic updates.
  • Consolidate resident charges for your end of period [fees + payments].
  • Save time with charges automatically generated for multiple residents.
  • Fast 'bulk' approval for all charges, with flexibility to override individual amounts.
  • Generate reports and CSV/XLS/PDF files to be used as billing reference.
  • Modify your generated CSV file to suit data import requirements of your billing system.
  • Adjust the end of period to match your billing cycle - weekly, fortnightly or monthly.
  • Access data anytime, anywhere.

eRAD Cloud connects with NeRA Cloud to share data and make the entire process of managing accommodation payments, fees and agreements more seamless than ever before! Resident records can be imported from NeRA Cloud, reducing double handling of data and errors.

Importantly, your resident data is secure against rising cyber threats, with e-Tools Software's ISO 27001 information security certification and best practice security afforded by the Cloud/SaaS model.

Be first in line for a demo when eRAD Cloud is ready. Contact our Sales Team on info@e-tools.com.au / 03 9573 3277.

Department Steps Up Home Care Audits - Beware of Major Funding Mistakes That Could Cost You

With the Department intensifying audits on home care services, we need to refocus your attention on critical funding issues. It’s been well over a year since the IPA introduction, yet we still find that many providers are unknowingly overlooking key details or not completing crucial processes. Errors are often discovered when clients contact us for help with data discrepancies.

We urge clients to take the time to assess if they are handling their funding correctly. Issues left unattended can have repercussions on audit results, accreditation, and financial viability! Please use the questions below to do a self-assessment.

Quick Self-Assessment Questions:

  • Do you finalise your End of Month (EoM) reports?
  • Do you ensure the Unspent Funds balance equals the Home Care Account balance on consumer statements?
  • Are you confident that you and your staff are managing every part of the IPA correctly?

If there is any uncertainty in your answers, please reach out and we'll schedule a time to run a quick check for you: support@e-tools.com.au or 03 9573 3277. Please ensure you address this before we head into the ‘Support at Home Program’ reform changes. We will also be announcing a range of support services aimed at helping clients identify existing errors, rectify issues and address knowledge gaps.

Support at Home Program Transformations -
We've Got Your Back

Don't misjudge the rescheduled 'Support at Home Program' (SHP) implementation date of 1 July 2025. You'll be surprised at how much needs to be done to migrate successfully to the new program, due to the scale of the transformations ahead.

e-Tools will continue to support our clients in this space, and planning is underway for a purpose-built software application to ensure you transition successfully to the new program.

We encourage providers to onboard now to our eHSP or eHCP software for smooth sailing later. Once our new software is released, you will be ready to move across on time to meet the new SHP requirements. Email us at info@e-tools.com.au for further info.

Update on our ISO 27001:2013 Certification

With cyber-crime on the rise and new threats constantly emerging, ISO 27001 helps ensure organisations conform with the best practices of information security management. A critical component of the ISO 27001 risk assessment process is to proactively identify and address weaknesses via penetration testing.

As an ISO 27001 certified organisation, we are required to perform regular penetration testing to ensure our information security controls are effective. We are pleased to report that e-Tools Software passed the latest penetration test and audit in April 2023. This was conducted by Gridware Cybersecurity Pty Ltd, an Australian company trusted by Government organisations and international companies. It is a positive outcome that helps ensure your data continues to be protected.

Raising Funds through Biggest Morning Tea

We held e-Tools Software's Biggest Morning Tea at our workplace on 28 May, to raise funds for the Cancer Council, and opened our fundraising page to the industry. Pictured above are some of our Melbourne HQ team members who came together for this event. Funds raised go towards vital cancer research, support services, prevention programs, and advocacy. We'd like to thank everyone who donated towards this important cause.
